Export your HubSpot data without leaving anything behind
A HubSpot export starts from the list of each object (contacts, companies, deals, tickets) and arrives by email as a CSV, XLS or XLSX file, with a link that stays valid for 30 days. It carries properties and associations, not activities: emails, notes and meetings come out another way, covered below. The file then goes into Kasar through the CSV or Excel import.

01What the HubSpot export contains, and what it leaves out
HubSpot separates three things people tend to lump together: records with their properties, associations between records, and activities. Exporting a view, as HubSpot's help center described it on October 6, 2026, covers the first two. Activities, property history and email content each take a different route.

The column that matters most later is Record ID. When you export all properties, HubSpot puts it first and sorts the remaining columns alphabetically. It is the only stable key a record has: names change, so do email addresses. Keep it even if your new CRM never uses it. It tells you where a row came from on the day a number does not add up.
02Export steps, one object at a time
For each object you are moving

Open the object list
In HubSpot, go to Contacts, Companies or Deals and pick the view to export. To take everything, start from an unfiltered view: a filtered view only exports its own rows.

Click Export
In list view, Export sits above the table. In the deals board view, it lives under the board options, then “Export view”.

Pick the format and header language
CSV, XLS or XLSX. Choose CSV or XLSX: XLS stops at 65,535 rows and 256 columns. Header language is set in the same dialog; in English, columns such as Lifecycle Stage are matched as is by Kasar automatic mapping.

Widen to all properties and associations
By default only the view columns are included. Choose “All properties and associations on records” to leave nothing out. Under advanced options, “All associated records” is available for CSV only.

Grab the file from your inbox
HubSpot emails you a download link that expires after 30 days. A CSV above 2 MB arrives zipped, and a large export may be split into several files.
Export in this order: companies, contacts, then deals. It is also the import order, because a record has to exist before another one can point to it. Write down the record count HubSpot shows for each object: you will check it against the import report.
Emails, notes and meetings
On a contact record, the “Export contact data” action can add every associated activity, emails and notes included, along with property history and associations. It works one contact at a time: fine for your ten largest accounts, useless for a ten thousand record database. For the rest, HubSpot points to custom reports and its engagements API.
Property history
History is exported one property at a time from the property settings, and requires export and edit permissions on the object. HubSpot keeps up to 45 revisions for a contact property and 20 for a company, deal or ticket property. Save it for fields whose evolution means something: lifecycle stage, deal amount.
03The file you end up with
- One row per record : one contact, company or deal per row, with no activity at all.
- Every property in alphabetical order when you ask for all of them, with Record ID as the first column.
- Association columns listing the IDs of linked records and, next to them, the associated record name.
- An owner column naming a HubSpot user, to be matched with a member of your new workspace.
- Multi-select properties packed into a single cell : check the separator before you import.
04The traps that cost you a day
- Filtered view : the export applies the filters of the open view. Compare the view count with the object total before clicking.
- Truncated associations : a record linked to more than 1,000 others does not get all of them in the column. Rare for a contact, more common for a large account.
- Split files : a large export arrives zipped, sometimes as several files with identical columns. Do not stitch them by hand, the import groups them.
- Resaved file : a CSV opened and saved again in Excel can change its separator and date format. Import the file exactly as HubSpot produced it.
- Expired link : after 30 days the download fails. Run the export again from the same view.
05Bringing the HubSpot file into Kasar
The move goes through the Kasar CSV or Excel import, available on every plan. A file can weigh up to 150 MB and you can drop up to 10 at once. Pieces of the same export, with the same columns in the same order, share a single mapping: unzip the HubSpot archive and drop the files as they are.

Drop the files in the right order
Companies first, contacts next, deals last. Kasar imports the files one after another in the order shown, which you change with Move up and Move down.

Choose who prepares the mapping
“Import with Leo”: Leo reads your columns, checks them against your data model and proposes the object, fields, relations and lists. “Map it myself”: Kasar proposes an automatic mapping you adjust column by column.

Link each contact to its company
Set the company column as a Relation to companies, matching on name or domain. A company missing from the CRM is created and linked, unless you turn that option off.

Keep Record ID in a text field
Choose “New” on that column. Kasar does not match on it, but it ties every record back to its HubSpot origin.

Set the duplicate strategy
For contacts, Kasar treats two records as the same when they share an email, a phone number or a LinkedIn profile. Keep “Create” for the first pass; pick “Skip” or “Update” for a second one.

Run it, then read the report
It lists records created, updated and skipped, and errors by category. Download CSV returns the failed rows with your original columns, ready to fix and import again.
For deals, first create your HubSpot pipeline stages in Kasar under the same names, then link the stage column to the opportunities pipeline: its value is kept. Without a linked column, deals land on the first stage of the default pipeline. Opportunities have no identity rule by default, so import that file only once.
Before you click Start import
- Order : companies before contacts, contacts before deals.
- Email mapped : this is the column that prevents duplicates on the next pass.
- Phones : the phone number country matches your database.
- Dates : the format is set to MM/DD/YYYY if the HubSpot account used US English.
- Record ID : it goes into its own text field.
- An XLS file above 65,535 rows, or a CSV resaved in Excel.

No, the export runs object by object: contacts, companies, deals, tickets, calls, custom objects. Each export follows the open view, with its columns or every property depending on the option. HubSpot's help center lists the other exports (users, workflows, forms) for a full account exit.
No. A contacts view export carries their properties and associations, not their activities. A contact’s emails come out through “Export contact data”, one record at a time. In Kasar, the simplest path is to connect the mailbox and run the history sync.
30 days, according to HubSpot's help center as checked on October 6, 2026. The link is emailed to the user who started the export. After that, run the export again from the same view.
Rarely. Kasar detects the separator, encoding and header row, lowercases emails and converts phone numbers to international format. Whatever is still invalid is dropped and flagged in the report without blocking the row. The real cleanup is duplicates, which the preview shows before you start.
