Export your Pipedrive data: deals, contacts and notes
Pipedrive has two exports: from a list view, which puts the fields of a deal, its person and its organization in a single file, and from the Export data tab, which pulls a whole item type at once, notes included. Files come as Excel or CSV and stay available for 28 days. Synced emails are not among the exportable types: they come back through the mailbox.

01Two exports, two jobs
The method you pick decides the shape of your files, and so the import work. Pipedrive's help center, checked on October 6, 2026, describes them this way. A list view combines: one row per deal, with the columns of the linked person and organization. The Export data tab takes everything: one file per item type, notes and activities included.

Either way, you only export what your visibility group lets you see. If a sales rep runs the export, they only get their own deals. For a full exit, the export has to come from a global admin account.

Open the account menu
Top right, open your account menu, then Tools and apps and Export data.

Pick the type
Organizations, people, deals, activities, notes or products. Start with organizations: they are imported first.

Set the type options
Each type has its own filters. For notes, choose plain text over HTML: it reads and imports without tags.

Choose Excel or CSV, then Export
The file joins the Generated exports list. Download it with the cloud icon in the “Available until” column, within 28 days.

Activities, notes and files linked to deals and contacts are exported separately, per Pipedrive’s help center. Plan one pass per type.
Exporting a list view
Open the deals list, apply a filter (all open deals, for instance), click the gear icon to choose columns, then the three dots and “Export filter results”. The XLSX or CSV file downloads right away. Add the person email and the organization name to the view: those two columns are what links deals together in Kasar.
03What stays behind, and where to find it
- Synced emails : we found no option to export them in Pipedrive's help center as of October 6, 2026. They are still in the Gmail or Outlook mailbox they were synced from.
- Files stored in Google Drive : the global export leaves them out. They are already in your Drive.
- Links between items : the Export data tab produces one type per file, so links travel through owner and linked item columns.
- Items you cannot see : Pipedrive visibility applies to the export, without warning.
04Traps in Pipedrive files
- Several emails and phones per person : Pipedrive allows more than one. Check whether they arrive as separate columns or in one cell before mapping.
- HTML notes : an HTML export keeps the tags in the cell. Plain text keeps them out of your records.
- Custom option fields : their values arrive as text. A column with more than 60 distinct values does not become a choice list in Kasar, it stays text.
- Forgotten export : after 28 days the file drops off the list. Download everything the same day.
- Visibility : an export started by a sales rep is not the whole database. Check who clicked.
05Bringing Pipedrive files into Kasar
The move runs through the CSV or Excel import, on every plan, up to 150 MB per file and 10 files per pass. A workbook with several sheets is read from its richest sheet. The upside of a list view export: one row feeds three objects at once.

Import organizations
They become companies. Kasar treats two companies as one when they share a domain, a name or a LinkedIn ID. With the “Skip” or “Update” strategy, a second import finds the company instead of recreating it; the default strategy, “Create”, creates every row.

Import people, linked to their company
The organization column becomes a Relation to companies, matched on name. Several columns can feed the emails of one contact, and several addresses in one cell are all kept.

Import deals from the list view
Each deal becomes an opportunity. Person and organization columns are set to “Enrich”: they complete the linked records instead of creating fields on the deal.

Link the stage to the pipeline
First create your Pipedrive stages in the Kasar opportunities pipeline, under the same names. A stage column linked to the pipeline is kept; otherwise the deal lands on the first stage.

Give notes an object of their own
Kasar does not import notes from a file: your Pipedrive notes will not become Kasar notes. During the import, an admin can create an object for them, “Pipedrive notes” for instance, where each note stays a record with its text. If your notes export holds the email of the person involved, link them on that email rather than on the deal title, which may match several opportunities.
Before each import
- Organizations imported before people, people before deals.
- Person email present in the deals export.
- Pipeline stages created in Kasar under the same names.
- Notes exported as plain text.
- An export started from a sales rep account rather than a global admin.
Do not reimport the deals file casually: Kasar applies no identity rule to opportunities, so a second import duplicates them. If you need to fix rows, start from the error CSV in the report, which only holds the rows to redo.
Frequently asked questions
Yes, from the Export data tab, as HTML or plain text. Notes linked to deals and contacts are exported separately from the deals themselves. Kasar does not import notes from a file: they go into an object created during the import, where they stay separate records, not Kasar notes. Link them on the person’s email, if the export holds it, rather than on the deal title.
We found no email export option in Pipedrive's help center as of October 6, 2026: the exportable types are leads, deals, organizations, people, products, activities, projects, notes and files. Synced emails stay in your original mailbox. Kasar attaches them to records once you connect that mailbox and run the history sync.
Because the export follows the visibility of the user who runs it, and the view filter for a list export. A global admin using the Export data tab gets a whole type. Compare the row count with the total Pipedrive shows.
Both work. Kasar reads a CSV and detects the separator and encoding on its own, and reads an Excel workbook from its richest sheet. Pick whichever format you plan to review by hand before importing.
