Sales meeting notes templates for client meetings and visits

Good sales meeting notes do not retell the meeting. They pin down what the client said, what was agreed and who does what by when. Below is a short template you can paste into your next recap right now, followed by full templates for a client meeting and for an on-site customer visit, each with a filled-in example and the email that sends it.

01A short template to copy now

Seven lines cover most client calls. The line that matters most is the one in the client’s own words: it is the sentence your contact will forward to their manager. If a line stays empty, that tells you something too. No agreement means the deal did not move; no next step means it may have stalled.

02The full templates

  • Client meeting notes : a meeting with a client or prospect, on video or in person. When to send it: the same day, within 24 hours at the latest.
  • Customer visit report : a visit to the customer’s site, with no video call. When to send it: written before you drive off, sent the same evening.

03What strong sales meeting notes have in common

  1. 1They go out fast : the same day for a client meeting, the same evening for a site visit. Notes sent a week later describe a conversation everyone has already rewritten in their head.
  2. 2They quote the buyer. A priority or an objection in the buyer’s exact words carries more weight inside their company than your paraphrase ever will.
  3. 3They keep decisions apart from open questions, and every action has one owner and one date.
  4. 4They come in two versions when needed : one for the client, one for your team, holding what you would not write to the client.

04Meeting notes without taking notes

In Kasar, the Chrome extension records your Google Meet, Teams and Zoom calls from the browser tab, and no extra participant joins. Notes from Granola, recordings from Fathom and Google Meet transcripts with their Gemini notes arrive on their own. Each meeting gets a five-part summary (overview, key points, decisions, actions, next steps) and suggested tasks, filed on the client’s record. After an on-site visit, you type or dictate the write-up on the record.

Frequently asked questions

One screen. Past that, nobody reads to the end and the actions get buried in prose. Keep the detail in your own notes or in the recording, and send the client what they need to act on.

Yes, always, before you start: say it at the beginning of the call. In Google Meet, a Transcripts icon shows every participant that transcription is on.

It gives you the raw material: key points, decisions, actions. Read it, add what you understood between the lines, and send the client the part that concerns them. Reviewing takes a few minutes instead of half an hour of writing.

Kasar, the CRM that prospects, follows up and fills itself in.

  • It captures.

Emails, LinkedIn, WhatsApp, calls and meetings land on the record, with no data entry.

  • It acts.

Meeting notes, suggested tasks, sequenced follow-ups: the CRM keeps itself current and tells you what to do next.

  • It prospects.

One sequence chains email, LinkedIn and WhatsApp. The reply lands on the record, next to the deal.

  • It takes your shape and connects to everything.

Your objects, your fields, your relationships. Everything else goes through webhooks, the API and the MCP server.
